Schools and kindergartens are the most demanding clients for play equipment, and not because their budgets are tight. It is because a school yard takes several hundred children in short, intense bursts, several times a day, every school day. Equipment that would last a decade in a residential courtyard can look tired in a school within two years.
This is a practical checklist for a school leader or facilities manager preparing a project, written in the order the decisions actually arise.
Stage 1: define who uses it, before anyone draws anything
The single most useful thing a school can prepare is an honest usage profile. Suppliers cannot design well without it and most never ask.
- Age bands and numbers. How many children in each age group, and are they in the yard together or in separate sessions?
- Peak concurrency. The maximum number of children in the area at one time. This drives equipment quantity and circulation far more than total enrolment does.
- Supervision. How many adults supervise, and from where? Sight lines have to be designed, not hoped for.
- Time of day. Midday use in direct sun makes shade a safety requirement rather than a comfort feature.
- Inclusion. Are there children with reduced mobility or sensory needs? Retrofitting inclusive play later is expensive and usually compromised.
Why this matters commercially: a supplier who has this profile can propose fewer, better-placed items that serve more children. A supplier without it proposes a catalogue selection that fits the budget, which is not the same thing.
Stage 2: understand the site honestly
Walk the actual space and note what constrains it.
- Usable area, measured, excluding circulation routes and fire access.
- Where water goes after heavy rain. Watch the yard during a storm if you can.
- Sun path. Which part of the yard is unusable at midday in the hot season?
- Existing trees. Roots restrict foundations and canopies provide shade worth keeping.
- Overhead cables and underground services.
- Hard boundaries: walls, fences, drops, vehicle routes.
- Delivery and installation access for trucks and equipment.
Stage 3: zone before you select equipment
Good school yards separate age groups physically. Toddlers and ten-year-olds moving at speed in the same space is a supervision problem no equipment specification can solve.
Zoning also means separating activity types. Quiet play, imaginative play, high-energy climbing and ball games all need their own space, and running routes should not cross the fall zone of climbing equipment. This is why zoning comes before product selection: choose the equipment first and you end up with a layout that only just fits.
Stage 4: safety requirements you should insist on
These are the items an inspection will look for and they should appear in the specification, not be discovered afterwards.
- Fall height and surfacing. Each item’s free height of fall, and surfacing rated at or above it. See our article on safety surfacing for how this is calculated.
- Fall zones. Drawn, not assumed. Overlapping fall zones between adjacent items are a common defect.
- Entrapment. Head, neck, finger and clothing entrapment are the classic causes of serious playground injury. Compliant equipment is designed to avoid the specific gap dimensions that cause them.
- Edges, corners and protrusions. No sharp edges, no bolts standing proud at head height.
- Foundations. Concrete footings below the surfacing, never left exposed within the fall zone.
- Material certificates. Galvanising, coatings and plastics documented, so you can prove what was installed.
Stage 5: specify for a school, not a garden
Three specification choices separate equipment that survives a school from equipment that does not.
Steelwork protection. Hot-dip galvanising then powder coating outlasts paint over bare steel by a wide margin, and the difference only becomes visible after the warranty conversation is over.
Fixings and wear parts. Ask which components are expected to wear, whether they can be replaced individually, and whether the supplier stocks them. A swing seat that cannot be replaced without a new frame is a design failure, not bad luck.
Surfacing durability at pinch points. Under swings, at slide exits and along desire lines the surface takes far more wear than the average. Uniform surfacing across the whole area means either over-specifying everywhere or failing at these points.
Stage 6: shade and water are part of the design
In Vietnamese conditions a yard with no shade is unusable for much of the school day in the hot season, which effectively reduces the play area you paid for. Shade structures, tree planting and equipment placement should be planned together.
Metal slides and dark rubber surfacing in direct sun reach temperatures that cause burns. Orientation, material choice and shade placement address this at design stage at almost no cost. Retrofitting a canopy over an existing structure costs considerably more.
Drinking water access near the play area reduces the number of children leaving supervision to find it.
Stage 7: handover documents to require
Ask for these in the contract. A supplier who cannot produce them has usually not done the underlying work.
- As-built drawings showing final positions and fall zones.
- Fall height schedule per item, with the surfacing rating that covers it.
- Material and test certificates for equipment and surfacing.
- Installation records, including foundation details.
- A written inspection and maintenance schedule with intervals.
- A spare and wear parts list with availability.
- A briefing for the staff who will run daily visual checks.
Stage 8: the routine that keeps it open
Playground maintenance is mostly inspection. A short daily visual check by a member of staff catches vandalism, litter, loose fixings and displaced loose-fill surfacing. A more thorough check at longer intervals covers wear, corrosion and surfacing depth. An annual inspection covers structure and compliance.
The reason to set this up on day one is simple. A school that can show a completed inspection log is in a very different position, both for child safety and for accountability, from one that cannot.
